Picture a family landing in the Caribbean after a long day of travel. The flight was early, the connection was tight, and the transfer from the airport took longer than anyone hoped. They pull up to the resort at twenty to three in the afternoon. What they want is the villa, the pool and something cold. What a lot of arrivals still begin with is paperwork: passports on the counter, a card for incidentals, a signature or two. Today's story is about moving that paperwork to the day before, into the chat the guest already uses, so the first thing they meet at the resort is their butler.
The arrival is the butler's moment
Many Caribbean butler programmes already treat arrival as something special. Butlers greet guests with a cold towel or a welcome drink, walk them to the villa and handle check-in in the suite rather than at the desk. It is one of the moments guests remember and talk about. It also tends to be the moment the butler spends the most time on forms: copying ID details, taking a card, checking the reservation against what the guest says.
At a resort of around 500 rooms, with 30 to 35 butlers across three shifts, arrivals bunch up in the afternoon. The same butler may be meeting two or three villas within the hour. Every minute spent on paperwork at the villa door is a minute not spent on the welcome itself. The goal is not to remove the butler from arrival. It is to take the admin out of it.
Why the paperwork usually lands on arrival day
Most resorts with a butler programme talk to guests in one of two ways before they arrive, and both were chosen for good reasons. Some issue a butler phone per villa, which is handed over at arrival, so it cannot help with anything before the guest lands. Others let the butler message guests on their own WhatsApp, which guests love because it is personal and fast. We look at the trade-offs in why guests do not want a second butler phone and the personal butler model on WhatsApp.
In the second case a butler can ask for details ahead of time, and some do. But an ID photo sitting in a butler's private chat is not a check-in. Someone still has to key it into the PMS, the card still has to be taken properly, and if the butler is off shift the day the guest replies, the details wait. So in practice the paperwork drifts to arrival day, when everyone is in the same place.
ID and card, right in the chat
With Butler AI, guests can complete check-in online before arrival, in the resort's WhatsApp on their own phone. The day before, the guest in Villa 12 gets a message from Andre, their butler: arriving tomorrow? Add a photo of your ID and a card for the villa, and we will have you checked in. The guest replies with the photo and adds the card in the same thread. There is no app to download and no link to a separate portal to find later.

Because the conversation runs on one resort WhatsApp number rather than a personal handset, the details belong to the resort. If Andre is off the day the guest replies, the butler on shift sees the same thread. That is the same shift problem we covered in shift handover for guest conversations.
Checked in the night before, and the front desk has it
Once the guest has uploaded what is needed, Butler AI completes the check-in and, with the Mews integration, posts the payment card details back to Mews. The reservation, the guest and the villa are already linked, because guest data flows from the PMS rather than being typed in by reception; we explained that in how PMS sync gives the butler the guest's details before arrival.

For the front office, that means the details are in the PMS before the guest arrives, not on a sheet of paper waiting to be entered. For the butler, it means the arrival conversation can start with the guest's name and plans rather than a request for a passport. The front-desk side of this is covered in more depth in how online check-in takes load off the front desk.
The door code arrives on its own
When the guest lands, the door code or key information is delivered in the same chat. In the story, Villa 12 gets a welcome message with the code at 2:40 pm, and the guest replies that they are landing now. Nobody had to remember to send it, and nobody had to stand at the desk waiting to hand over a key.

This is where the butler programme gets its moment back. With the forms done, the butler can meet the family at the villa with the welcome they planned, not a clipboard. Check-in becomes one step in a longer conversation that started before the trip, which is how timed guest journey messages and pre-arrival messaging are meant to work together.
What ops sees
For an ops director, online check-in is not only about speed. It is about having the arrival in one place: the request for documents, the guest's reply, the completed check-in and the code that went out, all in the resort's record rather than spread across handsets. Supervisors can see which arrivals are still waiting on details, and if a guest reply sits unanswered too long, a reply SLA alert tells a manager.
It also changes what the butler's afternoon looks like. Fewer forms at the villa door means more time for the things guests actually remember about a butler programme, and it keeps the butler as the guest's person from the first message to the last.
A quick checklist for your arrivals
Take tomorrow's arrivals list and ask:
- How many of these guests will hand over ID and a card in person?
- Where would a guest's ID photo end up today if they sent it the day before?
- Who keys arrival details into the PMS, and when?
- How does the guest get their door code or key, and who has to remember to send it?
- What is the first thing your butler says at the villa door: a welcome, or a request for documents?
Frequently asked questions
Do guests need an app to check in? No. They complete check-in in WhatsApp, in the same conversation they use with their butler.
Does this replace the butler at arrival? No. It moves the paperwork earlier so the butler can spend arrival on the welcome.
Which PMS does it work with? Butler AI posts payment card details back to Mews as part of online check-in. See guest journey automation and the product overview for the full flow.
Butler AI runs on WhatsApp for hotels with butler operations on top: assignment, shift rotation and visibility for ops. Read more about the resort butler service, or book a demo to see a guest checked in before they land.
