Hotel upselling software

Hotel Upselling Software Powered by Guest Data

Reach more guests, at the moment they are ready to decide, with offers drawn from live reservation data — and see exactly what each offer earned.

Most hotels do not lose upsell revenue because demand is missing. They lose it because a large share of guests are unreachable, and the offers that do go out arrive at the wrong moment.

1 month free. No credit card. Keep it only if it delivers.

Right offer, right guests — AI drafts a broadcast from booking patterns, staff publish it.

Why hotel upselling underperforms

Most guests are unreachable

OTA bookings arrive without a usable phone number or email. If two thirds of guests cannot be contacted, no offer strategy can work.

Offers arrive at the wrong time

A spa offer sent at booking is forgotten by arrival. The same offer on the right afternoon converts.

Everyone gets the same email

One blanket campaign to the whole arrivals list ignores room type, stay length, party size and what the guest already bought.

It depends on staff remembering

Manual upselling happens when the desk is quiet — which is exactly when the fewest guests are around.

Nobody can attribute the revenue

Without tracking from offer to booking to folio, upselling stays a hunch instead of a managed revenue line.

The real constraint

Reach, not persuasion

Every hotel that struggles with upselling assumes the problem is the offer. Usually it is not. The problem is that a large share of arriving guests cannot be contacted at all.

OTA bookings routinely arrive with a masked email and no usable phone number. If two thirds of your arrivals are unreachable, the cleverest offer in hospitality reaches a third of the people it needed to.

At Sunday Morning Collection, contact coverage moved from 35% to 91% over four months, which roughly tripled the audience any offer could reach — and upsell revenue rose 93.9% on the back of it. The offers did not get better. The reach did. Full detail in the case study.

Timing

The same offer, on the right afternoon

A spa offer sent with the booking confirmation is forgotten by the time the guest lands. The identical offer, sent on a wet Tuesday afternoon to a guest with nothing booked that evening, converts.

Because Butler AI reads live reservation data, offers can be triggered by the things that actually predict a yes: where the guest is in their stay, what the weather is doing, what is still available tonight, what they bought last time.

That machinery is shared with guest journey automation — an upsell is just another timed message, sent when the guest is most likely to act on it.

How the offer gets written

The pattern is already in your booking history

Every property has a demand pattern sitting in its own data — Tuesdays are quiet for the spa, Wednesdays sell out the aurora tour, September guests book more dinners than August ones. Nobody has time to read it out of a report every week.

Butler AI reads the pattern and drafts the broadcasts: an audience, a channel and three ready-to-edit messages. Staff review once, edit anything that does not sound like the property, and publish.

Nothing goes out without a human approving it, and the confirmation is specific — 48 messages sent to current guests — rather than a black box.

  • AI drafts audience, channel and copy from your own booking history

  • Staff review and edit before anything reaches a guest

  • Segmented by stay dates, room type, party size and past purchases

  • Sent through approved WhatsApp templates so the property number stays in good standing

Booking without leaving the thread

Offer, yes, and the charge is on the folio

The conversion killer in most upsell flows is the handoff: the guest gets an offer, taps a link, lands on a booking form, and abandons it. Or they say yes in chat and a staff member re-keys it into the PMS later, sometimes.

When the offer lands inside the conversation the guest is already having, accepting it is a reply. The booking is made, the charge posts to the correct bill in Mews, OPERA or Protel with proper categorisation, and checkout does not need reconciling.

Because each offer is tracked from send to booking to posted charge, upselling becomes a revenue line you can manage rather than a hunch you defend.

A word on restraint

The fastest way to ruin this is to send too much

An upsell channel that guests mute is worth nothing, and WhatsApp is unforgiving — a guest who finds you spammy does not unsubscribe quietly, they block the property number.

Segmentation is the protection. Three guests receiving three different relevant offers is service. Forty-eight guests receiving the same offer is a mailshot that happens to be on WhatsApp.

Frequency limits are configured per property, and the best-performing offers are usually answers to something the guest already asked.

Frequently asked questions

What is hotel upselling software?

Hotel upselling software identifies which guests to offer an upgrade or add-on to, when to send the offer, and through which channel — using live reservation data from the property management system. Good upselling software also handles acceptance and posts the resulting charge back to the folio, so the revenue is attributable rather than estimated.

What results have hotels seen?

At Sunday Morning Collection in Pyhä, Finland, Butler AI generated €9,081 in upsell revenue over the reporting period — a 93.9% increase — after guest contact coverage rose from 35% to 91%. The full breakdown is in the case study.

Does the AI send offers without us approving them?

No. The AI drafts the offer and the segment, and staff review and approve before anything is sent. You can pause any campaign at any time.

What can we upsell?

Room upgrades, late checkout, early check-in, spa and activity bookings, dining, transfers, and any service already in your PMS or menus.

How does the charge reach the guest folio?

Accepted offers post to the correct bill in your PMS automatically, with categorisation, so the front office does not re-key anything.

Will guests find this spammy?

Offers are segmented and timed rather than broadcast to everyone, and they arrive inside a conversation the guest is already having with the property. Frequency limits are configured per property.
